The Option-Icon Pattern in Tana

One pattern I use repeatedly in Tana (and in Tanarian Brain) is to use emojis and title expressions to

a) bring a little bit of color and fun into my setup
b) condense information

Let me show you how to set this up:
In the configuration for the task supertag, I have two option fields: >Task Status and >GTD Status

Every option consists of an emoji and the option text

Under each option I've indented a generic >Icon field, which has the same emoji as its value that the option itself has
To clarify:

The option "🟑 In Backlog" has an indented field >Icon, which has as its value only the emoji "🟑"
What I do then, is to configure the supertag to build the title from fields, where I then ref not the status name ("🟑 In Backlog") but the _icon indented under it_ ("🟑").

I can do that in the title expression by referring to "Task Status.Icon" – lets me access indented info
Which then comes together as this nice indicator of status right in the node title/name, without having to expand to see the whole field.

Super neat!

RFT – Request for Templates

What business processes should live inside tools like @tana_inc, Notion and the like?

What templates do you wish you had but can't find?
What are your favorite templates that you'd love to have ported to another tool? (All tools welcome!)
I'm asking because I had a very interesting call recently where I saw a huge FileMaker setup tuned to a specific org and its processes.

FileMaker is kinda the OG of tools like Notion and Tana – it lets you build custom databases and UIs relatively simple.

But it's slow as heck.
A couple of weeks before that I had a call where I was shown how an org moved off of a custom MS Access database to a different solution that was more generic.

This transition worked because the more "generic" software was actually built with the exact business process in mind.

Do you treat note-taking with a scarcity mindset or with an abundance mindset?

Are the notes you take debts or deposits?

Both perspectives are fine, of course, but I much prefer the abundance mindset.
You know how there's this idea that you can't directly influence luck, but you can increase the "surface area" on which luck can strike?

Same with taking notes: the more great notes you have, and the more you connect them, the higher the chance for inspiration and insight.
The one resource that really is scarce is my memory.

That's why I outsource a lot of storage to my note-taking system - because space there is abundant.

Can't count how often I've found notes from ten years ago that provided fresh insight.

Every note you take is a deposit.

It collects compound interest the more you connect it to other notes.

You cash in on that interest and capitalize on the notes you've taken when you produce work based on them.

This has five implications:
1 - Better notes are bigger deposits

Just highlighting or copy-pasting stuff isn't great note-taking - it's a (very) small deposit with generally low interest.

The original quote plus your thoughts on it, your take-away messages: large deposit.
2 - Taking the notes, reading, thinking, generates the deposit.

But connecting your notes is where you earn the compound interest.

If you don't connect your notes you're leaving the largest share of "profit" on the table.

Avoid High Modernist Design in your Knowledge Base

Whether you're using @tana_inc, Notion, or any other tool to manage knowledge and collaborate – that's the one thing you want to avoid.

Let me tell you what I mean: 🧡
What is "High Modernism"?

It's a term from James Scott's fantastic book "Seeing Like A State" and describes, slightly condensing,

"uncritical optimism about comprehensive planning."

It's been applied to everything from forestry to city planning – and you should avoid it.
So what does it have to do with team knowledge bases?

When we decide to create a system to document things, to build a wiki, to collaborate, it's very easy to start by _designing_ such a system from scratch.

Tabula rasa, out with the old, in with the new.

Don't do that.

How I do mobile Quick Capture into Tana

This is a common and super important request for @tana_inc to build soon.

Let me share a great (albeit hacky) way to do this RIGHT NOW on iOS that I learned from the phenomenal Slack community
Miguel Tavares has created a Quick Action for @draftsapp that lets you share notes directly into Tana.

You can find it here:

To set this up, here's what you need to do:

In Tana, make a new node somewhere (I have mine in the sidebar) and call it something like "Mobile Inbox" (name doesn't matter, just needs to be a specific node)

Then focus your cursor into it, do Cmd/Ctrl+k and "Get API Token"
