SALARY: $61,104 to $69,386 annually
POSITION PURPOSE

Reporting to the Director, is responsible for providing administrative and clerical support to a technical engineering based team; including handling sensitive political and human resource issues; researching and compiling background information;
arranging meetings and appointments; taking formal minutes at meetings; maintaining office administration and records management processes and procedures; responding to and/or redirecting inquiries/communications; and completing special projects, as assigned.
QUALIFICATIONS

• Successful completion of a Community College Diploma in Business Studies or related field or approved equivalent combination of education and experience.
• Minimum three (3) years progressively responsible administrative experience with an emphasis on determining priorities and organizing activities of a diverse work assignment.
RESPONSIBILITIES

• Provides administrative and secretarial support to technical engineering-based team.
• Maintains schedules through Microsoft Outlook (Calendar).
• Assists and facilitates communications between management and staff, elected officials, outside agencies and the public.
• Maintains office records management system which includes a bring forward and follow up tracking system to ensure that appropriate action is taken; x
creates and maintains databases; prepares documentation for storage and/or retrieval of off-site documents using the Corporate Records Management system; assists in maintaining a library; and ensures consistent standards and appropriate training of staff for
documents produced by the Branch or Division.
Business and Accounts Payable Clerk

St. Joseph’s - Brantford, ON

SUMMARY

This position is responsible for the day to day administrative duties associated with the Finance and Business departments as well as the processing and administration of accounts payable invoices.
The Business and AP Clerk, for approximately 20% of their time, will also assist with day-to-day Human Resources activities and initiatives including maintenance of HR files.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Including but not limited to the following:

Inputting of accounts payable invoices for St. Joseph’s Lifecare Centre and Stedman Hospice
Printing of cheques corresponding to the entered invoices
Distributing and mailing completed and signed
AP cheques

-Liaising with vendors, residents and resident families to answer questions on outstanding invoices and payments.

- Preparing weekly cash and cheque deposits for Accommodation, Trust and Sundry accounts
- Reconcile Petty Cash monthly and assist Manager of Finance with Month end and Year End Tasks

-Clearing cancelled cheques in point click care monthly
-Assist with new Resident admissions to complete the administration paperwork and forms for new admits

-Filing of vendor invoices

-Monthly Resident Billings and reconciliation of Resident AR accounts
-Monthly Reconciliation of Resident Trust Accounts

-Assist with the employee recruitment process and other HR support across the employment life cycle
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and / or ability required.
EDUCATION and / or EXPERIENCE

-Diploma in Accounting or Business

-Expert computer skills in Microsoft Windows including Word and Excel
-Two to three years related experience
-Demonstrated ability to work, apply and comply with dedicated standards
-Displaying positive interpersonal skills and clear communication skills
-Excellent organizational skills
