I used to do around 1.5 million monthly zaps to automate hundred of routine processes within my agency using @zapier

Account Manager FAQ

- account managers that forward all client questions to me is a pain so I created a database where we store all questions and answers that they can refer to before asking me questions using this zap
Reminders For Routine Tasks For VAs

- our bi weekly reports are sent by our virtual assistants and just to make sure they don't forget, I set up a bot that messages them to remind them
Daily Update Bot

- simple KPI's that clients can see that update the on the progress that is being made daily

(clients love communication)
Demo Set Bot

- every time a demo is set within our agency it updates our #comms chat on slack and adds them into the pipeline so we can track leads properly
Onboarding Form Has Been Submitted

- our form catches and set's off a ton of different zaps that would take a million screenshots so instead I'll link @bricewoodard thread that is very similar to what we do

Charge Client For Appointment Set

- we do a pay per appointment model for our lead gen agency and used to send an invoice at the end of the month to collect the months worth of appointments but now we have a zap that charges them immediately when an appointment is booked
Omni Channel Lead Generation

- this is where 70% of all my zap costs came from because we had to set this up for every client

- It basically connect Mailshake to expandi to automate connection request to prospects that didn't open up our outbound emails
Discovery Call Recordings

- love having all our discovery call recording being sent into our slack channel so our team can review and give feedback immediately
Client Management

- when a client finishes that onboarding form, it will take all their information and add them to our client management section within Notion so we can make sure that everything is being taken care of
Money Bot

- this is so our team gets notified immediately when the prospect pays

If your infra foundation cracks, nothing else matters.

- Always use Google or Microsoft accounts - most trusted and stable

- Stick to .com domains (.org, .info, .co work as backups but .com performs best)

- Min. 2 weeks warmup, ideally a full month for longevity
- Buy 2 sets of infrastructure monthly - one live sending, one warming up

- Keep emergency non-branded domains ready for when main infra takes hits

- Verify DNS setup (SPF, DKIM, DMARC) and send test emails before going live

First things first: This only works if you actually deliver what you promised.

We have 10,000+ transactions with under 0.05% dispute rate because we sell ethically and set clear expectations.

This blueprint won't save you if you're legitimately committing fraud.
Now, the contract is the law.

If you mutually signed off on deliverables and I delivered them, you don't get to chargeback because you're unhappy with results.

Contract = deliverable. Period.

If you're a lead gen agency owners under $100k/mo, please don't make the same mistakes I did.

Read this, save it, and look at it every day.

There are 3 things I messed up on that I don't want you to.

Bookmarking this thread will save you money:
1. Profit > Revenue

You can grow top line to $10m/year. It doesn't matter.

What matters is what you take home.

Cut unnecessary SaaS, don't overhire, and focus on strictly what you're personally taxed on as the benchmark for how well you're doing.
2. Spend lots of time focusing on deliverability.

Especially if you're PPL or have guarantees.

Bad deliverability months can ruin revenue. Ask me how I know.

They often have relationships with outlets because of how often they talk to them.

This actually makes the cold email process extremely easy:
1. Scrape a specific ICP lead.

If you do B2B SaaS PR, scrape B2B SaaS firms.

If you do cannabis PR (real industry), scrape cannabis companies.

Keep the ICP tight so you can build more relevance into the email.
