As someone who's tried many task management apps and workflows like Todoist, Notion, Logseq, and Google keep, I can say that Trello is the one stuck with me. So here is my simple Trello flow which helps manage my day to day tasks at work. #productivity #taskmanagement #Trello
To begin with, I have two label types - "priority" and "status". Three priority labels: "priority-low," "priority-medium" and "priority-high" which are self-explanatory.
Two status labels: "status-todo" which is used when a task is added but I haven't started working on it yet. As soon as I start working on it, the status should be changed to "status-inprogress".
I have a board with four lists: "done", "backlog", "weekly", and "today". All completed tasks go into "done" list which I archive weekly. All status and priority labels are automatically removed once a card is moved here and due date is set to done.
"Backlog" list is for tasks that can be done later, like a feature request or a low-priority bugfix. When a task is added, the due date is set to 3 months. Default due date is to remind me that I haven't picked up this tasks for a long time and should probably work on it soon.
"Weekly" is a list of tasks focusing on the current week. Cards from the backlog are moved here when I decide to work on them. When a card is added, it automatically sets the due time to the end of the week and adds two labels automatically: "status-todo" and "priority-low".
If the tasks lapses for more than 2 weeks and "status-todo" then I move it to backlog and work on it later since its clearly not that important. If a tasks comes with particular due date then I manually update the due date.
"Today" is a list of tasks focusing on that day. Mostly, these are cards moved from the weekly board. When a new task is moved here, it automatically sets the due time to the end of the day and adds "status-todo" and "priority-low" labels if no labels are set.
Without automations this will be a mess, all the card based automations are done by Trello Butler. It is built into Trello and not a power-up anymore.
To avoid ending up with multiple labels of the same type like "status-todo" and "status-inprogress" I've created buttons to set them. For example, button "Priority: high" removes any "priority-*" labels and adds the "priority-high" label.
One other thing I use heavily is lists inside a task (card), this helps breaking down bigger tasks to several smaller ones. I end up creating lists for most of my tasks. I also use comments to gather tasks related resources like a web link, discussion on chat about the task etc.
I use few Trello power ups like Card repeater for recurring tasks and Calender power up to get calendar view. If you're using Trello Premium then custom fields can be used instead of priority and status labels, which makes the automation simpler.
I still feel Trello premium offering doesn't give me enough reasons to pay yet except setting due date for sub lists. None of the power ups I use are paid as well.
