1. Make it hyper-specific

It's hard to meet a deadline if you don't know what or when it is. Define the exact time and deliverable

❌️ I'll finish the manuscript before next term

✅️ I'll complete a first draft of the manuscript introduction by Friday morning
2. Make it attractive

Its human nature to prioritise things that bring satisfaction. Make deadlines result in pleasurable outcomes

❌️ I need to write the meeting minutes today

✅️ I'll write the meeting minutes by midday then take a 15min walk after as a reward

Issues with scope/format

Editors check papers fit the journal requirements before sending out to peer review.

If you think the paper is outside scope or a type not published by the journal, notify the editor so they can closely rereview
Ethical issues

Similarly, editors check author disclosures, COIs and study ethics prior to peer review.

If you think a COI affects study integrity or a study is not ethical, notify the editor so they can investigate.

Recommendations reflect your relationship with the applicant. Before you write, make sure they know your view this

✅️ I'll write you a letter but it will only comment on your clinical work. Is that ok?
Define your relationship

Specify the type and length your relationship in the letter. This shows you have the authority to make recommendations

❌️ I work with person X

✅️ I've known person X for 5 years: as their PhD supervisor from 2018-20 then mentor from 2020 to now.

As a PhD student, my supervisor never answered my emails.

Then I became a PhD supervisor and realised why

🔹️Not being specific

Many of my emails didn't clearly state what I wanted my supervisor to do or the timeline. So he assumed the email was an FYI.

Now I use actionable email subjects
❌️"Re: Revised grant"

✅️ "Re: Revised grant: approve by COB"
🔹️No context

My emails assumed my supervisor remembered all my project details. He didn't, leading to mamy back & forths

Now I give enough context to remind of the last interaction
❌️Revised grant attached

✅️ Revised grant attached with your feedback from the meeting
