I have a computer folder backed up to the cloud called “Tenure” where I have sub-folders for teaching, research & service as well as one for old annual activity reports. Research folder has every publication, every award/grant notice, & reviews of my book.
Teaching folder has syllabi, evals, teaching awards, & nice notes from students. Service folder has documents tracking my committees, one-off tasks & students I’m advising or on committee for.
Really the most important thing is being able to look back at the details to write your trajectory narratives for each category. And having all your publications and awards ready to go! Scan things you get on paper only.
My university does electronic files so everything eventually just got uploaded to a Box. But find out if you have to do a paper version for yours.
I definitively found being organized about this from the first day on the tenure track made getting things together for every review and now tenure much easier. But then again, I am Type A & love such organization.
